Scope of this Privacy Policy

This Privacy Policy explains how we process personal data when you visit our website, contact us by email, form, or phone, request information about our programmes or institutional offerings, or enter into a professional or contractual relationship with us. If we later offer newsletter subscriptions or similar updates, this Privacy Policy will also apply to that processing unless we provide a more specific notice.

If we process personal data on behalf of a university, school, or other institution in connection with a separate educational service, that processing may also be governed by a separate agreement or privacy notice.

What personal data we may process

Depending on your interaction with us, we may process your name, email address, phone number, organisation or institution name, job title or role, country and business contact details, correspondence and enquiry contents, billing or contractual information, technical website data, and cookie-related data. If privacy-friendly analytics are activated in the future, this Privacy Policy will also apply to the related processing.

We do not intentionally collect more personal data than necessary for the purposes described in this Privacy Policy.

Why we process personal data

We may process personal data to operate, secure, and improve our website; respond to questions and partnership enquiries; provide information about our educational activities and institutional offerings; manage professional relationships; send newsletters or updates where permitted; prepare, perform, and administer contracts; comply with legal and tax obligations; and protect our rights, systems, and organisation.

Legal bases

Under the GDPR, we rely on one or more of the following legal bases: consent where required, performance of a contract or steps prior to a contract, compliance with a legal obligation, and our legitimate interests, provided those interests are not overridden by your rights and interests.

Cookies and analytics

We use cookies and similar technologies as described in our Cookie Notice. Where consent is legally required for non-essential cookies or similar technologies, we will ask for that consent before placing them.

Sharing personal data

We may share personal data with website hosting, contact-form, CMS, IT, legal, tax, accounting, and other service providers that support our operations under appropriate contractual safeguards. If we later use analytics, newsletter, or CRM tools, this Privacy Policy will also apply to those providers as relevant. We may also share data with competent authorities where required by law, or with relevant partner institutions where appropriate for a joint enquiry or project.

International transfers

If personal data are transferred outside the European Economic Area, we will ensure that appropriate safeguards are in place, such as an adequacy decision, Standard Contractual Clauses, or another lawful transfer mechanism.

Retention

We do not keep personal data longer than necessary. As a starting point, contact and general enquiry data may be kept for up to 24 months after the last meaningful contact, newsletter data until unsubscribe plus a limited suppression record if needed, and contract, invoice, and accounting records for the statutory retention period, generally 7 years where applicable.

We may keep data longer where necessary to establish, exercise, or defend legal claims, or where required by law.

Your rights

Subject to the GDPR and applicable law, you may have the right to access your personal data, correct inaccurate or incomplete data, request deletion, restrict processing, object to processing based on legitimate interests, receive your data in a portable format where applicable, and withdraw consent at any time where processing is based on consent.

To exercise your rights, contact us at eli@edtechlabs.eu. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens): https://autoriteitpersoonsgegevens.nl/.

Children and minors

Our website is primarily intended for professional, institutional, and general informational use. If in the future we offer services or collect information directly from minors, we will do so in accordance with applicable law and, where required, with the involvement of the relevant parent, guardian, school, or educational institution.

Security

We take appropriate technical and organisational measures to protect personal data against loss, misuse, unauthorised access, or unlawful processing.

Third-party websites

Our website may contain links to third-party websites. We are not responsible for the privacy practices of those third parties and encourage you to review their privacy notices.

We may update this Privacy Policy from time to time. The most current version will always be published on this website together with the latest revision date.
